We’re expanding our digital platform to include vendor partnerships, sales representative programs, contests, newsletters, and training resources. We’re looking for a Zoho CRM & AI Implementation Project Manager to bring structure, automation, and synergy to our systems — helping us scale efficiently while delivering exceptional experiences for vendors, members, and internal teams. Role Overview: You will lead the setup, integration, and management of Zoho CRM for the My Bella Baby ecosystem. You’ll ensure every process — from vendor onboarding to sales rep tracking to newsletters — works seamlessly across our systems. You’ll also use AI tools to assist document creation, streamline communication, and enhance workflow automation. Your blend of technical, strategic, and creative skills will empower our growing team to thrive. Core Responsibilities: - Zoho CRM Setup & Management - Design and implement a custom Zoho CRM structure for multiple departments (Vendor Management, Member Relations, Sales, Marketing, Support). - Build automated workflows for: Vendor onboarding and communication. - Member management and support. - Sales rep tracking and performance reporting. - Email newsletters and marketing campaigns. - Contest and giveaway management. - Organize documents and digital assets in Zoho WorkDrive or Docs for easy team access. - Develop tagging, pipelines, dashboards, and report systems aligned with business goals. - AI-Driven Operations Support - Use AI tools (ChatGPT, Zoho Zia, Jasper, etc.) to help create or refine: - Emails, newsletters, and blogs. - Vendor documentation and member onboarding materials. - Training materials, guides, and knowledge bases. - Recommend and integrate AI-supported automations for CRM, content, and marketing. Project Management: - Translate the My Bella Baby Mind Map/Expansion Plan into a practical project timeline. - Identify missing process documents and request input from leadership. - Delegate tasks to part-time assistants and ensure accountability through Zoho Projects or similar tools. - Provide weekly progress reports and optimize workflows continuously. Content & Marketing Oversight: - Integrate CRM with social media and email marketing tools (Zoho Social, Mailchimp, or similar). - Support setup of email campaigns, blog scheduling, and sales rep performance tracking. - Help with structure for vendor and member newsletters, content calendars, and automated reminders. Team Training & Documentation: - Create easy-to-follow video tutorials and written SOPs for: - CRM workflows and updates. - Vendor and sales rep onboarding. - Newsletter and social content submission process. - Train internal team members and vendors on system use. Required Skills & Experience: Expert-level hands-on experience in Zoho One Suite, especially: Zoho CRM Zoho Projects Zoho WorkDrive/Docs Zoho Social Zoho Campaigns / Zoho Mail Zoho Analytics Proven background in CRM implementation for multi-department businesses or startups. Strong project management skills (Agile, Kanban, or similar methodology). Excellent AI literacy — able to use or guide AI tools for content creation, automation, and process optimization. Exceptional organizational and communication skills — both written and verbal. Strong understanding of digital marketing systems, sales tracking, and vendor/member engagement. Highly Valued Additional Skills: Experience with video creation tools (Loom, Canva, Camtasia, etc.) for training. Background in sales enablement or onboarding processes. Knowledge of email marketing and newsletter strategy. Familiarity with social media scheduling tools. Creative problem-solving and strong initiative — someone who “owns” results. Compensation & Engagement: Part-Time (10–20 hours/week) with potential to expand. Competitive hourly rate or retainer based on experience and results.
