Project: Zoho CRM & Flow Automation with Analytics Dashboards About Us We are a growing B2B company looking to strengthen our sales and customer support operations by optimizing Zoho CRM, Zoho Flow, and Zoho One tools. Our long-term goal is to connect our systems with Spire ERP, but this project will focus first on building automations, dashboards, and pipelines that support our sales and CSR teams. This initiative is designed to make us better, faster, and more effective as a team. We want to waste less time, make smarter decisions, and partner with the right customers — supported by Zoho systems that work seamlessly. We see this project as the first step. The right person could start with us as an outside consultant and, if successful, transition into a part-time ongoing role as part of our team. Phase 1 – Automation & Advanced Tools Goal: Ensure sales and CSR teams receive timely notifications and reduce manual work. Specific: Build Zoho Flow automations for SalesIQ visitor alerts, lead score thresholds, and CSR workflows. Measurable: At least 3 active automations deployed and tested with dummy data. Achievable: Flows functional within Zoho environment. Relevant: Improves response time and prevents leads/customers from slipping through cracks. Time-bound: Deliver within 4 weeks of project start. Milestones: Flow: Notify lead owner in Zoho Cliq/email within 15 minutes of key customer events. Flow: Exit rules for cadence if lead replies or calls. Explore and suggest any AI-based integrations/tools that could further enhance lead scoring, customer routing, or analytics. Phase 2 – Analytics & Dashboards Goal: Provide leadership with visibility into sales, margins, and operational performance. Specific: Build dashboards showing daily sales, sales by rep/product, gross margin %, inventory sales data, fill rate, and invoice rate. Measurable: Dashboards accessible in Zoho with at least 5 key metrics live. Achievable: Created using Zoho Analytics or Zoho CRM dashboards. Relevant: Supports data-driven decisions to improve efficiency and profitability. Time-bound: Deliver within 6 weeks after Phase 1. Milestones: Sales performance dashboard (daily sales, sales by rep, pipeline performance). Inventory and margins dashboard. CSR dashboard (fill rate, invoice rate, open/closed tickets). Phase 3 – Sales Pipeline Foundations Goal: Establish clear CRM structures to manage sales opportunities and customer interactions. Specific: Build at least one sales pipeline with defined stages (to be designed with our input). Measurable: Pipeline stages documented and tested with sample data. Achievable: Delivered within Zoho CRM with best-practice setup. Relevant: Creates the base structure for sales reporting and automation. Time-bound: Deliver within 3 weeks after Phase 2. Milestones: Create sales pipeline in Zoho CRM with appropriate stages. Configure ownership/assignment rules so leads are never unassigned. Document the pipeline for sales team usage. Future Phase – ERP Integration (Optional, Later) Connect Zoho CRM with Spire ERP via API (customers, orders, products). Sync ERP data into dashboards for real-time reporting. Skills Needed Expert-level Zoho CRM knowledge (pipelines, modules, workflows, operating tools). Strong experience with Zoho Flow and automation. Ability to build Zoho Analytics dashboards. Familiarity with AI-enhanced tools/integrations.
