Position Overview We are looking for a tech-savvy coordinator to manage the technical side of virtual workshops, ensuring smooth, professional experiences for all participants. This is an on-call contract position. Responsibilities: Before Workshops: • Set up Zoom meetings with proper security settings • Create and send calendar invites to registrants • Test technology and troubleshoot issues • Prepare breakout rooms if needed • Set up waiting room and registration • Upload any presentation materials • Send reminder emails (1 week, 1 day, 1 hour before) During Workshops: • Manage Zoom meeting (host/co-host) • Welcome participants as they join • Troubleshoot participant tech issues (audio, video, connection) • Monitor chat and Q&A • Manage screen sharing • Facilitate breakout rooms if needed • Handle any disruptive participants • Monitor time and give facilitator time cues • Record session (if applicable) 90-minute workshop + buffer for early arrivals/late stays After Workshops: • Send follow-up emails with resources • Process and share feedback forms • Provide recording link (if applicable) • Debrief with facilitator on tech issues Administrative Support: • Manage workshop registration list • Send pre-workshop materials to participants • Track attendance • Coordinate with facilitator on logistics • Maintain organized workshop files Requirements: Must Have: • Expert-level Zoom skills (hosting, not just attending) • Reliable high-speed internet • Professional demeanor and communication • Excellent problem-solving under pressure • Attention to detail • Availability for evening/weekend workshops (workshops currently scheduled for Fridays, but this might change) • Quick response time to emails/messages Technical Skills: • Zoom: Breakout rooms, polls, screen sharing, recording, security settings • Google Workspace (Calendar, Drive, Docs, Eventbrite) • Basic troubleshooting for common tech issues • Email platforms (Gmail, potentially Mailchimp) Nice to Have: • Customer service experience • Event coordination background • Experience with faith-based or wellness events • Familiarity with other platforms (Teams, Google Meet) Compensation: TBD, based on Experience Work Schedule: • On-call for scheduled workshops (typically evenings/weekends) • 4 hours prep before each workshop • 90-minute workshop duration • 30 minutes - 1 hour post-workshop wrap-up • Flexible for administrative tasks during the week To Apply: 1.
