Your Team: ASX Technology is the largest division within ASX, consisting of approximately half of the workforce, led by the Chief Information Officer (CIO) and their leadership team. The division oversees the planning, development, delivery and operations of technology for ASX including lines of business aligned technology teams, and shared services such as Infrastructure, Cyber Security and Architecture. The team assistant directly supports the office of the CIO with day to day administrative and operational activities, liaising primarily with the Technology Leadership Team (TLT), the Executive Assistant to the CIO, and other team assistants across ASX. Your core responsibilities: Coordinate meetings and events with external partners and stakeholders of the TLT, acting as primary point of contact to manage Provide light touch calendar management, administrative and operational support to the CIO’s TLT. logistics, communications and scheduling on behalf of the TLT. Organise divisional and leadership team meetings and events, including logistics, catering, IT/audio visual setup, managing the shared mailbox and divisional calendar and maintaining key Technology distribution lists. Coordinate travel arrangements for the Technology division, ensuring compliance with relevant policies. Assist with maintaining up-to-date team documentation, such as organisational charts and procedural documentation for team management. Support the weekly TLT operating rhythm by coordinating agendas, attendee and distribution of materials, including minute-taking if required for operational team meetings. Support the TLT with expense reporting and purchases order processes by providing guidance, answering queries and facilitating interactions with Finance and Procurement. Support the Executive Assistant to the CIO as required, including coverage during periods of leave. Assist with on-boarding activities for senior Technology team members, supporting a smooth transition into their new role. Identify and implement improvements to business management processes, driving team efficiency and collaboration in a fast- paced environment. Maintain strict compliance with internal policies, adhering to the governance standards required of a highly regulated financial services environment. Your experience and qualifications Must have: Excellent organisational skills with high attention to detail Demonstrated ability to manage deadlines Ability to manage multiple tasks and prioritise accordingly Proficient computer skills (Outlook, Word, Excel, PowerPoint) with the ability to learn new systems Excellent communication skills, both verbal and written SharePoint/Office 365 experience Tertiary qualifications in business We make hiring decisions based on your skills, capabilities and experience, and how you’ll help us to live our values.
