Project Description & Scope of Work Project Title: Shopify E-commerce Platform Development Organization: Helping Hands Charity Date: September 28, 2025 Budget: $2,000 CAD (Fixed-Price Contract) Project Duration: November 1, 2025 – February 28, 2026 1.0 Organization Overview Helping Hands is a registered non-profit organization based in Sault Ste. Marie, Ontario. Our mission is twofold: to divert consumer goods from the municipal waste stream and to alleviate poverty by providing these goods to vulnerable populations. We are launching a strategic initiative to build a self-sustaining e-commerce platform to amplify our environmental and social impact. 2.0 Project Goal The primary goal of this project is to design, build, and launch a professional, secure, and user-friendly Shopify e-commerce website. This platform will serve as a new, sustainable revenue stream to fund our charitable operations. A critical success factor is that the final product must be easily manageable by our non-technical team of student volunteers. The site's design and functionality must be optimized for local commerce, encouraging community members to purchase goods for in-store pick-up. 3.0 Scope of Work & Key Deliverables The contractor will be responsible for the end-to-end development of the Shopify website. The scope of work is defined by the following key deliverables: Phase 1: Foundation & Setup Theme Selection & Installation: Research and recommend a premium, mobile-first Shopify theme that is fast, flexible, and aligns with the project goals. Install and configure the selected theme. Basic Configuration: Set up core store settings, including payment gateways (Shopify Payments), shipping/local pick-up zones, and tax information. Phase 2: Design & Development Homepage Design: Create an engaging, mission-focused homepage that prominently features our organization's story, an integrated TikTok feed, and curated product collections. Core Page Creation: Build and populate essential static pages, including "About Us," "Contact Us," "FAQ," and a page detailing our mission and how store profits support the community. Template Customization: Design and implement clean, reusable templates for product pages and collection pages that are simple for volunteers to populate. Navigation: Create an intuitive primary navigation menu and footer. Phase 3: E-commerce Functionality & Integrations Checkout Optimization: Configure the checkout process to prioritize and streamline the "Local Pick-up" option for customers. "Make an Offer" Functionality: Research, recommend, and install a Shopify app to facilitate a "make an offer" or "pay what you can" model on select products. Configure the app to ensure offers are submitted to staff for review before a transaction is completed. Marketing & Analytics Integration: Klaviyo: Ensure seamless integration of Klaviyo for email marketing sign-up forms and customer data synchronization. Google Ads: Implement Google Ads conversion tracking tags to accurately measure the performance and ROI of our ad campaigns funded by our NPO Google Ad Grant. Social Media Integration: Install and configure apps to display social media feeds (specifically TikTok and Facebook) on the homepage. Quality Assurance: Conduct thorough end-to-end testing of the website, including the offer submission process, checkout, mobile responsiveness, and all interactive elements to ensure a bug-free launch. Phase 4: Handover and Documentation Project Handover: Transfer full ownership and administrative access of the Shopify store to the Helping Hands project manager upon final project approval. 4.0 Timeline & Key Milestones The project will be executed over a four-month period. Month 1 (November 2025): Project kickoff, theme selection, and finalization of site architecture and design mockups. Month 2 (December 2025): Development of homepage, core pages, and product/collection templates. Month 3 (January 2026): App integration ("Make an Offer," marketing, social), checkout configuration, and internal testing phase. Month 4 (February 2026): Final revisions, official site launch, and project handover. 5.0 Contractor Requirements Proven expertise in Shopify development with a strong portfolio of live e-commerce websites. Ability to work independently and manage the project to the agreed-upon timeline. Excellent communication skills, with a commitment to providing regular progress updates. Experience in creating user-friendly back-end experiences for non-technical users.
