  • Description
  • Responsible for ensuring that all shipping and receiving documents and functions are completed accurately and on time. Ensure all inbound and outbound traffic is directed to the correct docks. Communicates any issues with the customer, transportation department, and internal floor personnel on all inbound and outbound freight. This role operates from a shipping office located within the center of an active warehouse environment and supports multiple customers with varying documentation and compliance requirements.

Essential Job Functions

  • Inbound/Outbound Freight
  • Check in all inbound and outbound loads by appointment time, time stamp, process, and direct to correct dock door in coordination with forklift operators and supervisors.
  • Communicate load shortages, damages, variances, returns, and late loads to internal teams and external customers.
  • Organize preload orders with supervisors and ensure loads are prioritized by delivery date and time.
  • Coordinate with Repack teams regarding product needed from repack lines and communicate potential delays as needed.

Safety

  • Comply with OSHA and all applicable safety standards.
  • Ensure all truck drivers are informed of and comply with facility rules and safety procedures prior to being assigned a dock door.
  • Documentation
  • Ensure accuracy and completeness of all shipping and receiving documents.
  • Gather, maintain, and file records related to shipping and receiving activities.
  • Enter and retrieve data using the Warehouse Management System (WMS) and other software platforms.
  • Verify that receiving documents match packing lists and purchase orders and that shipping documents match picking documentation.
  • Research transactions in the WMS system to support shipment verification, inventory accuracy, and discrepancy resolution.
  • Support multiple customers within the facility, each with unique paperwork, labeling, and documentation requirements
  • Email and/or upload inbound and outbound documents to required customers and/or systems as outlined in their internal SOPs.
  • Inventory Support (Light Duties)
  • Perform light inventory-related duties, including checking warehouse locations for inventory accuracy.
  • Assist with researching inventory discrepancies and reporting findings to the Inventory Manager or Supervisor.
  • Office & Administrative Support
  • Work effectively from a shipping office located within the warehouse environment, with frequent interaction with warehouse floor operations.
  • Maintain accurate logs, reports, and records on a daily basis.
  • Provide shipment and receipt status information to internal customers as requested.
  • File prior day documentation and maintain organized records.
  • Populate spreadsheets, track reports, and research data as requested by management.

Additional Responsibilities

  • 1. Package orders for smaller parcel/LTL customers
  • 2. Perform general filing and office organization.
  • 3. Multi-task across multiple software platforms, including WMS and Microsoft Office applications.
  • 4. Perform other duties and assignments as directed by management.
  • 5. Punctuality and regular attendance are mandatory.

WORK ENVIRONMENT

  • Primarily work is performed in an office within a warehouse, however not limited to other activities such as daily yard checks or going on the warehouse floor to check product with possible issues.
  • Work is primarily performed in an office located within an active warehouse environment. Duties may also require time on the warehouse floor, including yard checks and product verification activities

QUALIFICATIONS AND REQUIREMENTS

  • General knowledge of warehouse procedures and basic computer skills (Work, Excel, Microsoft office, and Outlook)
  • Microsoft Office experience required, including Word, Excel, and Outlook.
  • General warehouse knowledge required, including shipping, receiving, and dock operations.
  • Ability to multi-task across multiple software platforms in a fast-paced environment.
  • Experience working in a multi-customer warehouse facility with varying documentation and compliance requirements.
  • Bilingual required (English and Spanish).
  • Must be able to read and write in English.
  • Strong time management, organization, and record-keeping skills.
  • Forklift experience appreciated but not required
