Senior Executive Assistant to the Chief Investment Officer The opportunity Are you a highly skilled Senior Executive Assistant who thrives on anticipating needs, solving problems, and enabling executives to focus on what matters most? Who you’ll work with You will report to the Chief Investment Officer, Asset Allocation and provide support to the Leadership Team, as required. In this role, you’ll work with stakeholders at all levels, both internal and external, and collaborate closely with other senior administrators to ensure alignment and consistency across the organization. What you’ll do Manage the Chief Investment Officer’s complex calendar, anticipating priorities and ensuring readiness for all commitments, including board and leadership meetings. Keep the CIO well-informed of upcoming responsibilities, proactively identifying potential conflicts and recommending solutions. Serve as the primary liaison between the CIO and internal/external stakeholders, including board members, fostering trusted relationships. Act as a strategic partner by prioritizing competing needs, handling matters expeditiously and following through on tasks to successful completion. Draft, edit, and finalize correspondence, reports, and presentation materials often under tight timelines and with minimal guidance. Coordinate and manage complex international and domestic travel, ensuring seamless logistics and proactive contingency planning. Plan and execute meetings and events, including site selection, budget oversight, catering, technology setup, and post-event follow-up. Support the preparation and coordination of materials for board meetings, including reviewing submissions for accuracy and completeness. Develop and maintain efficient workflows and communication channels across the CIO’s office and leadership team to ensure alignment. Oversee sensitive and high-priority deliverables requiring coordination across multiple stakeholders. Monitor, reconcile, and process expense reports; support budget-related activities and ensure compliance with organizational policies. Build a deep understanding of the business and its priorities, enabling you to exercise judgment and discretion when making decisions or managing inquiries. Partner with other senior administrators across the organization to ensure consistent processes, alignment, and knowledge sharing. Respond to internal and external inquiries with tact, diplomacy, and discretion, representing the CIO and the organization professionally. Anticipate emerging needs, escalate issues appropriately, and take initiative to address matters before they become urgent. Perform other responsibilities as assigned to support the success of the CIO and the leadership team. What you'll need 10+ years of progressive administrative experience supporting senior executives, at the C-suite level Expertise in MS Office (Word, Excel, PowerPoint, Outlook) and proficiency with collaboration and productivity tools such as Teams, SharePoint, ChatGPT, and CoPilot, with the ability to quickly adapt to and learn new technologies. Exceptional judgment, discretion, and ability to manage sensitive information. Proven ability to navigate ambiguity, multitask, and drive initiatives forward with minimal guidance. Strong interpersonal skills with the ability to influence, build relationships, and manage upwards effectively.
