Our client, a premier investment firm, is looking to add a full-time, permanent Receptionist and Office Administrator to their downtown Toronto office.

Responsibilities
In this role, you will be:

• Greeting clients as soon as they arrive
• Directing visitors by addressing or referring inquiries
• Providing callers with company information as needed
• Receiving and routing all incoming calls to the appropriate team
• Managing complex calendar requirements for the executives
• Scheduling and setting up various client meetings
• Facilities management, ensuring office and kitchen are tidy and stocked
• Managing international travel arrangements and itineraries
• Receiving, sorting and distributing mail
• Providing administrative support to the executives
• Anticipating client requests and attending to them
• Ensuring health and safety compliance
• Maintaining office supplies and updating database records
• Providing event and marketing support, assisting with coordination
• Managing all front desk responsibilities
Qualifications
What YOU bring to the table:
• Minimum 2 years of previous Reception and/or Office experience
• Proficient in Microsoft Office and tech savvy
• Ability to communicate with visitors and clients in a professional manner
• Ability to manage deadlines and conflicting demands
• Strong attention to detail and proactive problem solver
• Able to learn quickly and effectively
• Strong organizational, administrative and customer service skills
• Polished and professional demeanor, with a friendly, hands-on attitude
