PipeDrive Implementer Help set up a clean, simple, and effective CRM that powers client intake. We’re looking for a PipeDrive Implementation Specialist to take our existing intake and follow-up processes and turn them into a well-organized, easy-to-use CRM system. This is a project-focused role ideal for someone who enjoys building practical tools that teams actually use — without layers of complexity or enterprise-scale requirements. You’ll work closely with the lawyer and intake coordinator to translate our real-world workflow into a clear PipeDrive forms, pipeline, basic automations, custom fields, and dashboards. The goal is simple: make sure nothing falls through the cracks and the intake team can work with confidence and clarity. We’re looking for a hands-on, detail-oriented CRM builder who knows PipeDrive well and can implement a clean, reliable setup that supports our day-to-day intake operations. What You’ll Do 1. Build Out the PipeDrive Pipeline Structure Create a straightforward intake → consult → engagement pipeline. Configure custom fields for lead source, offer type, lead notes, etc. Ensure the pipeline reflects how the team actually works. Keep the system simple, usable, and intuitive. 2. Set Up Practical Automations Build basic workflow automations such as: Follow-up reminders Stage-based tasks Consultation reminders Agreement follow-up prompts Focus on automation that manages and streamlines manual work — not overengineering. 3. Configure Lead Intake & Data Capture Ensure new leads are routed properly into PipeDrive. Set up required fields for consistent data entry. Clean up field organization and naming for clarity and ease of use. 4. Create Useful Views, Filters & Dashboards Build pipeline views for the intake coordinator and lawyer. Create simple dashboards showing: Lead volume Consults set Agreements sent/signed Stage progress Ensure reports match the firm’s real-world goals. 5. Connect Basic Tools Assist with lightweight integrations such as: Email & calendar sync Lead capture forms E-sign tools 6. QA, Testing & Team Training Test automations and pipeline movement to ensure accuracy. Provide brief training to the intake coordinator on: Using stages correctly Updating records Following workflows Create simple documentation for basic system use. What Success Looks Like Within 4 weeks, you will have delivered: A clean PipeDrive setup that mirrors the intake workflow Basic automations that reduce manual follow-up Dashboards that show the most important intake metrics Clear documentation and a confident intake team A system that stays functional and easy to maintain long-term Required Experience Hands-on experience setting up or customizing PipeDrive Ability to translate real processes into simple CRM workflows Comfort creating pipelines, custom fields, automations, and dashboards Strong attention to detail and clarity Good communication skills, especially when training non-technical users Organized and reliable — able to see a project through from start to finish Preferred Experience (Nice to Have, Not Required) Experience with CRMs for small professional services or law firms Familiarity with intake processes and consultation-based sales funnels Experience configuring e-signature or scheduling tools Light integration experience via Zapier or native connectors Key Strengths Practical, not over-engineering Clear communicator Systematic thinker Detail-oriented Easy to work with Focused on usability and long-term maintainability Why This Role Matters Our CRM is the backbone of our intake and consultation process.
