  • JOB SUMMARY
  • Reporting to the Pharmacy Operations Manager, the Team Leader of Inventory Operations is responsible for overseeing all inventory control activities to ensure accuracy, efficiency, and compliance with organizational standards. This role provides leadership to the inventory team by managing workloads, coordinating stock transfers, monitoring returns, and maintaining accurate records. The Team Leader fosters a positive work environment through coaching, mentoring, and holding employees accountable for performance. Working closely with Pharmacy Management, the Team Leader drives process improvements, supports quality assurance initiatives, and ensures adherence to company policies and health and safety standards.
  • DUTIES AND RESPONSIBILITIES
  • • Provide direction and oversight for inventory processes to ensure accuracy, efficiency, and compliance.
  • • Lead and coordinate inventory counts, investigate discrepancies, validate adjustments, and escalate trends to the Manager.
  • • Supervise and support stock transfers, manage expired or short dated products, and oversee cycle count activities.
  • • Ensure accurate maintenance of inventory records, including open orders and Kroll system updates (on hand quantities, UPC, vendor details).
  • • Oversee receiving and stocking activities: verify incoming shipments, record shortages, reject damaged items, and ensure proper storage and labeling.
  • • Monitor and manage the returns process, including clinic returns and pickup arrangements when required.
  • • Organize and prioritize team workloads to meet operational objectives and service standards.
  • • Facilitate regular communication with the Pharmacy Management team to share updates, resolve issues, and improve processes.
  • • Promote adherence to Bayshore policies and procedures, ensuring confidentiality of client and corporate information.
  • • Champion health and safety practices; identify and report risks promptly to the Supervisor.
  • • Support quality assurance initiatives and continuous improvement efforts.
  • • Maintain a clean and organized work environment within the pharmacy.
  • • Lead people management activities, including coaching, mentoring, and holding employees accountable for performance and behaviour.
  • • Work closely with HR Business Partners to manage escalations, resolve conflicts, and ensure fair and consistent application of policies.
  • • Foster a positive team environment by addressing interpersonal issues promptly and constructively.
  • • Other duties as assigned.
  • QUALIFICATIONS
  • Education & Experience
  • • Post secondary education and/or university degree preferred
  • • Minimum 3–5 years of experience in inventory control, warehouse operations, or supply chain processes
  • • At least 2–3 years in a supervisory or team lead role, with proven ability to manage and motivate teams in a fast-paced environment
  • • Strong knowledge of inventory systems and procedures, including receiving, stocking, cycle counts, and returns
  • • Demonstrated skills in coaching, mentoring, and holding employees accountable for performance and behavior
  • • Experience in working in a fast-paced environment with tight deadlines
  • • Ability to apply company policies consistently and fairly
  • • Proficiency in inventory management systems (e.g., ERP/WMS) and Microsoft Office Suite
  • • Strong organizational, problem-solving, and decision-making skills
  • • Excellent communication and interpersonal abilities
  • • Commitment to health and safety standards and continuous improvement
  • • Ability to read, write, and comprehend instructions, correspondence, and memos.
  • • Capable of effectively presenting information in one-on-one and small group settings to employees.
  • • Proficient in basic mathematical operations, including addition, subtraction, multiplication, and division with whole numbers, fractions, and decimals.
  • • Demonstrates sound reasoning and judgment to follow instructions provided in written, oral, or diagram form.
  • • Skilled in organizing workload for efficient use of time.
  • • Able to function independently and take ownership of responsibilities.
  • • Experience in leading staff involved in inventory management.
