The Parish Administrator serves as the central administrative support for the parish, ensuring the smooth, efficient, and welcoming operation of the church office. This role combines administrative, secretarial, and hospitality responsibilities, with a strong emphasis on excellent customer service to clergy, staff, parishioners, volunteers, and visitors. The Parish Administrator is often the first point of contact for the community and plays a key role in supporting the mission and ministries of the church.
Key Responsibilities
Administrative Support
Prepares the weekly Sunday bulletins for multiple services on a weekly basis. Liaises with the Incumbent, Music Director, and ministry leaders to ensure the correct information is included. Proofreads and prints according to the weekly schedule.
Manages the day-to-day operations of the church office.
Provides administrative support to clergy, staff and the wardens, including scheduling appointments, preparing correspondence and reports, handling phone calls and emails.
Maintains church calendars for a very active organization. This includes services, meetings, building use, and ministry activities.
Responsible for preparing the vestry reports each February. Liaises with the Bookkeeper and the Accountant to ensure all financial information is correctly reported.
Customer Service
Serves as the primary point of contact for parishioners, volunteers, visitors, contractors, and callers to the Church.
Fosters positive relationships with all clergy, staff, wardens, ministry leaders, and volunteers through effective communication and reliable support.
Office & Data Management
Maintains accurate church records. Oversees filing systems, office supplies, office equipment maintenance, and vendor communication.
Regularly coordinates with the Bookkeeper and Accountant to ensure all financial records are up to date and accurately reflect the Church's financial position.
Communication & Publications
Creates and distributes the weekly email blast to Parishioners and upload the Sunday sermon to YouTube on a weekly basis.
Collaborates with ministry leaders to promote events and share important information with the congregation through the weekly Sunday bulletins.
Other projects as assigned.
Qualifications
Minimum three years previous administrative, office management, or secretarial experience; church or nonprofit experience preferred.
Exemplary customer service skills
Excellent written and verbal communication skills.
Proficiency with office software (e.g., Microsoft Office, Google Workspace) and willingness to learn church-specific systems such as Power Church, Mail chimp as well as YouTube.
Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. Proven ability to prioritize tasks to ensure that work is completely thoroughly and in a timely manner.
Proven ability to maintain confidentiality and exhibit discretion in handling sensitive information.
Comfortable working in a faith-based environment and supporting the mission of the church.
