Are you an exceptional virtual assistant who thrives on structure, flow, and mission-driven impact? I’m the founder of The Hira Collective, a rapidly growing wellness-tech startup rooted in ethical, decolonized, and community-based care. We’re in a foundational growth phase — and I’m looking for a proactive, systems-savvy Executive Assistant to be my right hand and help manage everything from internal workflows to student interns. This role is a blend of operations, executive assistance, content support, and intern coordination — ideal for someone who thrives in fast-paced environments and knows how to turn vision into organized execution. If you’re confident managing content calendars, building systems, and supporting a founder who juggles many roles — I want to hear from you. You’ll start with ~10 hours/week (flexible), with potential to grow into a long-term leadership support role. Key Responsibilities & Deliverables Initial Onboarding Support • Organize and optimize our ClickUp dashboard + project boards • Set up or streamline Google Drive folders, task systems, and SOP templates • Assist in onboarding: uploading blogs/videos, formatting content, and organizing workflows Content & Marketing Support • Manage content calendar (ClickUp / GSheets / Notion) • Draft, format, and schedule newsletters in MailerLite or Flodesk • Upload and organize blogs, videos, and Pinterest assets • Light Canva work using brand templates (IG posts, YouTube thumbnails, etc.) Operations & Intern Management • Prepare agendas/notes for team calls • Track tasks and ensure internal deadlines are being met • Help coordinate and manage student interns (Waterloo & Riipen) starting Jan 2026 • Maintain communication bridges between founder, assistant, and student contributors Strategic Support • Help systematize workflows across departments (content, events, outreach) • Assist in tracking platform metrics, bookings, and email performance
