Responsibilities
Regulatory & Compliance: Keep logs and binders up-to-date for all Medical Device, Medical Device Establishment, Natural Health, and Drug licenses. Liaise with quality consultants on annual renewals, inspections, complaint handling, and recalls.
Human Resources: Coordinate employee onboarding, including scheduling and setting up computers, phones, and access to internal systems. Act as a liaison with external HR consultants and benefit providers. Keep the Policies Binder updated, promote a respectful and inclusive workplace, and stay current on Health and Safety regulations.
Office Administration: Manage the front desk, which includes greeting visitors, handling shipments, and other reception duties. Coordinate essential office equipment agreements for telephones, copiers, and other equipment. Oversee the benefits program and spearhead recruitment efforts.
Qualifications
Proven experience in an office management or similar administrative role, particularly within the life sciences or medical device industry.
Demonstrated ability to handle confidential HR and legal information with discretion.
A strong understanding of regulatory processes and compliance is an asset.
The ability to work full-time in an in-office setting in Mississauga.
Skills
Exceptional Organization: Ability to manage multiple priorities and maintain highly detailed records and binders.
Strong Communication: Excellent verbal and written communication skills to interact with internal teams, external consultants, and visitors.
Self-Sufficient: A proactive "leader" mindset, capable of working independently and taking initiative.
Problem-Solving: Highly resourceful with the ability to handle a variety of situations and escalate issues to senior leadership when necessary.
Technical Aptitude: Familiarity with ERP systems such as SAP, Netsuite, Oracle, or Quickbooks is a strong asset.
