Temporary Office Experience Coordinator
We are seeking a highly organized, proactive, and customer-focused individual to join our team as a Temporary Office Experience Coordinator in a dynamic and fast-paced marketing agency environment. This role is crucial in ensuring the smooth daily operation of our office and providing an exceptional experience for both employees and guests.
Advantages
Schedule: 8:30 am – 5:00 pm, Monday to Thursday (4 days in office, Friday is not a working day)

Pay rate: $20.62/hr
Responsibilities
● Assist with Catering orders for in office meetings and events.
● Organizing equipment pick-up from former FCB employees
● Office plant care (watering)
● Management of FOB tracking system and keys
● Stationery and Office supplies inventory management
● Parking Management and Tracking
● Ensures that the offices look professional, clean, and tidy at all times including
all common areas, boardrooms, and kitchens.

● Proactively look for ways to minimize clutter around the office and ensure that
FCB is a welcoming, clean, and comfortable environment for all visitors
● Maintain and update office Floor Plans.
● Coordinate gift purchases for clients and employees.
● Organize, update, and maintain all facilities files and documents.
● Manage online subscription list and fulfill requests for new subscriptions.
● Courier coordination and assistance
● Coordinate office moves.
● Set up and clean up for internal and external company events.
● FCB swag orders
● Coordinate new hire set up with HR Coordinator
● Organize and coordinate recycling station pickups.
● Assists with the company's charitable events (United Way).
● Consolidate PO/Event Card Expenses
● Reception relief when needed.
● Other projects as assigned.
Coffee Bar
● This individual will work closely with our Cafe Coordinator to ensure that our in-
office Coffee Bar is a warm, welcoming environment for all employees, clients,
and other office guests.
● Will be required to work at the Coffee Bar when the Café Coordinator is
unavailable on a regular basis.
● Inventory and Orders for the Coffee Bar
● Wine and LCBO orders
● Cleaning all Coffee Bar Equipment
● They will be responsible for working with the Cafe Coordinator to serve hot and
cold beverages such as coffee, espresso drinks, teas, and other drinks (including
coffee and tea lattes)
● Stock Office beverage fridges and pantry items like chocolate bars, chips, and
other snacks.
● Preparing boardrooms with food and other items prior to client meetings
● Clean the Coffee Bar and Kitchen. This includes sanitizing and disinfecting
surfaces, unloading/reloading dishwashers, and cleaning out the fridges and
pantry.
● Prepare and serve packaged food items like yogurt and granola, snack bars,
bags of chips and replenish the fruit bowl.
● Maintain and replenish food stations including restocking milk, cream, sugar,
cups, lids and stir sticks.
Qualifications
● 2+ years of relatable experience
● The ideal candidate has experience working at a coffee shop or in the food
service industry.
● Understanding of Microsoft Outlook
● Understanding of Google Docs
● Superior interpersonal skills with the ability to take initiative.
● A high attention to detail and strong sense of accountability
● A willingness to assist others and take on new responsibilities.
● Excellent verbal and written communication skills
● Excellent organizational and time management skills
