Job Summary
Rohit Group Calgary now delivers over 500 homes annually across multiple active communities and the servicing and marketing of its own new. The team and pace require a dedicated Office Administrator/Executive Assistant to keep the environment organized, professional, and running efficiently.
The Office Administrator/Executive Assistant role exists to maintain a friendly and energetic office environment and support the order, rhythm, and cohesion in the Calgary office. This person ensures that leadership and site teams can focus on production and customers without distraction. It is a hands-on administrative position that requires ownership of the office environment and its support functions, combines organization, consistency, and energy with the professionalism of a customer-facing environment.
Key Responsibilities
Administrative Operations
- Be the welcoming presence of the office, ensuring guests and couriers are greeted and coordinated with courtesy and care.
- Understand the need for, and Maintain, all office supplies, groceries, and vendor relationships for general office needs.
- Maintain all shared work areas including but not limited to kitchen, meeting spaces, copier, storage, and reception areas, ensuring they are organized and presentable.
- Maintain awareness of all Edmonton and Calgary staff travel to support efficient arrangements, schedule coordination, meetings, and team activities across both locations.
- Oversee a seasonal events calendar to guide the coordination of holiday décor and special office activities.
- Manage courier services, mail, cleaning contractors, and reception duties.
- Answer public phone calls, emails, and route inquiries appropriately
- Serve as the primary point of contact for coordinating business needs with the landlord.
- Support onboarding logistics and general P&C coordination in partnership with People & Culture.
Office Coordination
- Serve as the first point of contact for staff, visitors, trades, and consultants
- Oversee all things day to day in the office so it runs smoothly and consistently
- Organize staff events, seasonal functions, and milestone celebrations
- Ensure the office appearance always reflects the company’s professionalism and culture
Culture & Environment
- Create a positive, welcoming, and professional atmosphere
- Foster a collaborative workplace by coordinating team communications, supporting shared office practices, and reinforcing a professional office environment.
- Set the tone for how employees, consultants, and guests experience the Calgary division
Experience
Required- 5 year(s): 5-10 years experience in administrative or office management roles
- Demonstrated proficiency with Microsoft Office and general office technology
- Energized by engaging with staff, trades, and executive-level leaders
