Overview

We are seeking a highly organized, detail-oriented Marketing Coordinator / Real Estate Assistant to join our growing real estate business. The ideal candidate is proactive, resourceful, and able to thrive in a fast-paced environment. This role combines marketing execution, client communication, and real estate administration to ensure smooth operations and strong brand presence.

Key Responsibilities

  • Marketing & Branding
  • Create and manage social media content, email campaigns, and marketing materials.
  • Coordinate photography, videography, staging, and signage for listings.
  • Maintain brand consistency across all platforms (TREB, MLS, Canva, Instagram, Facebook, LinkedIn).
  • Listing & Transaction Support
  • Broker Load: input MLS listings, upload photos, scan/process listing documents (price changes, extensions, terminations).
  • Enter listing data and showing instructions in BrokerBay.
  • Prepare offers, amendments, waivers, and related documents using WebForms/Authentisign.
  • Client & Database Management
  • Maintain CRM (Follow Up Boss) to track leads, past clients, and campaigns.
  • Draft professional correspondence, letters, and templates.
  • Provide exceptional client service and follow-up.
  • Administrative Support
  • Manage schedules, book appointments, and coordinate meetings.
  • Ensure compliance with RECO/TREB rules and office policies.
  • Assist with general office tasks and problem-solving as required.

Qualifications

  • Minimum high school diploma (college-level diploma or marketing courses preferred).
  • 3–5 years of real estate office administration or marketing experience.
  • Strong knowledge of BrokerBay, WebForms, Authentisign, Stratus, Follow Up Boss.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint).
  • Experience with social media platforms & Canva an asset.
  • Familiarity with OREA forms and TREB compliance.
  • Excellent written and verbal communication skills.
  • Strong time management, multitasking, and problem-solving abilities.
  • Willingness to work evenings and weekends as required.

Job Type: Part-time

Pay: $17.75-$25.00 per hour

Expected hours: 5 – 10 per week
