We are hiring a Marketing & Administrative Coordinator to support us. This role blends marketing, client care, and administrative work. You’ll be supporting a mortgage broker and the team's underwriter to manage the business's online presence, client relations, and back-end systems.

This is a remote part-time role (20–30 hours/week), with the potential to transition into a full-time position. Weekday morning availability is required. We meet daily on Google Meet (M-F).

Responsibilities:

Marketing & Social Media (30%)

  • Manage and update social media platforms (creating content, posting, scheduling, responding to engagement)
  • Create social media graphics and marketing materials using Canva
  • Write and post blogs to the website, monthly newsletter, and social platforms
  • Coordinate and mail birthday cards and scratch tickets monthly
  • Ensure CRM sends client birthday, anniversary, and renewal emails correctly
  • Organize and send gifts; brainstorm new client retention ideas
  • Manage contests, giveaways, and community sponsorships
  • Order print materials and branded merchandise
  • Track closings and schedule associated client follow-ups

Administrative Support (70%)

  • Follow up with clients for missing documents
  • Rename, organize, and save files to Google Drive
  • Create signing packages in Adobe Acrobat for review and sending
  • Separate and save returned signed documents to the appropriate folders
  • Order and file appraisals
  • Conduct PEP/AML checks in applications
  • Save applications, credit reports, and final documents to Google Drive
  • Manage and mark file statuses in Velocity and/or Filogix
  • Prepare and upload compliance packages for office approval
  • Contact lawyers to confirm instructions and appointments
  • Schedule and manage post-signing follow-ups, reviews, and referral requests
  • Other duties as required

Qualifications

  • 2+ years of experience in admin, marketing coordination, or client support
  • Experience using Canva to create social media content and marketing materials
  • Familiarity with Google Workspace (Docs, Drive, Gmail)
  • Proficiency with Adobe Acrobat (combining/splitting PDFs, formatting packages)
  • CRM and social media management experience
  • Real estate or mortgage industry experience is an asset
  • Knowledge of Velocity or Filogix is a bonus but not required
  • Excellent communication and multitasking skills
  • Strong attention to detail and ability to work independently
  • Must be available during weekday mornings
  • Must live in Alberta or British Columbia
