Responsibilities ...
This role is centered on managing the essential services that support our clients diverse portfolio of parking and tenant facilities, with a specialized focus on four key pillars:
1. Vendor & Contract Management Excellence
You'll be the architect of their service agreements, overseeing a portfolio of maintenance and operations contracts. This involves:
Procurement Strategy: Working with Strategic Sourcing to develop and lead the procurement process for key contracts, including preparing all necessary documentation.
Performance Oversight: Evaluating contractor and vendor performance against KPIs, ensuring service level compliance, and driving improvements for future assignments.
Process Streamlining: Identifying opportunities for gap analysis and streamlining processes to create greater efficiency in contract and procurement workflows. Any prior vendor management experience is a plus!
Inventory Control: Managing all aspects of the Stockroom operation to ensure the efficient movement of materials, accurate record-keeping, and inventory control.
2. People & Team Leadership
This role is about leading through collaboration and development, ensuring a motivated and high-performing team.
Employee Engagement: Getting to know the team, implementing 1-on-1 time to discuss career growth and challenges, and fostering high employee engagement.
"Aces in Places": Focusing on learning and knowing the strengths of the team to best utilize individual talent and support professional development.
Operational Feedback: Gathering and providing clear, constructive feedback on the night maintenance program to continuously improve its effectiveness.
3. Sustainability & Decarbonization Leadership
You'll be instrumental in achieving ambitious environmental goals, driving their fleet and building systems toward net-zero targets.
Emissions Strategy: Supporting the implementation, maintenance, and reporting of all emissions reduction initiatives in alignment with City Net Zero targets.
Future-Proofing the Fleet: Designing and managing long-term plans for the acquisition, utilization, repair, and disposal of operations vehicles and equipment, with a focus on decarbonization of the fleet.
Energy Conservation: Identifying and implementing strategies for Building Systems Energy Conservation.
Funding Acquisition: Identifying and applying for grants or funding related to carbon emission reduction initiatives.
4. Risk, Compliance & Labour Relations (CRITICAL)
Your expertise will safeguard the organization by ensuring rigorous adherence to regulatory and safety standards, particularly within a unionized environment.
Regulatory Compliance: Monitoring and ensuring all building, fire, and life safety systems comply with all relevant legislative requirements, Codes, and Acts.
Union Management is a MUST: You must have a STRONG LABOUR RELATIONS BACKGROUND and demonstrated experience working with and managing UNIONS. This includes the ability to navigate collective agreements and confidently have difficult conversations when necessary.
Safety Leadership: Ensuring vendor and contractor compliance with employment laws, including the Occupational Health and Safety Act and WHMIS. You'll also be an active member of the Joint Occupational Health and Safety Committee (JOHSC).
Qualifications
Labour Relations: Proven, substantial experience working in a unionized environment and managing related labour relations matters is a non-negotiable requirement.
Education: A university degree or 3-year college diploma in facilities management, project management, business management, contract management, or a related subject area.
Experience: A minimum of five (5) years’ experience in facilities, operations, project management, or a related field.
Technical Knowledge: Strong working knowledge of relevant employment laws, including the Occupational Health and Safety Act, WHMIS, and the Employment Standards Act.
Operational Project Management: Demonstrated experience in managing large and complex facilities-related projects and strong expertise in procurement and contract management processes.
Analytical Prowess: Excellent analytical, mathematical, and statistical skills to organize and interpret data, identify trends, and develop actionable recommendations.
Interdepartmental Growth: A proactive approach to engaging with the rest of the organization and other departments to build relationships, understand cross-functional workflows, and lay the foundation for future succession planning.
Communication & Judgment: Exceptional interpersonal skills to build and maintain strong relationships with internal and external stakeholders, coupled with sound judgment, negotiation, and conflict resolution skills.
Availability: Must have the ability to be on call 24/7 and occasionally work extended or irregular hours to meet operational needs.
Mobility: Must possess a valid Class "G" Driver's License for the Province of Ontario, access to a personal vehicle, and appropriate business coverage insurance ($2,000,000.00 liability minimum).
