The HR department plays a key role in supporting our global operations by ensuring compliance across multiple jurisdictions and delivering a seamless employee experience. The team manages all aspects of the employee lifecycle, including recruitment, onboarding, benefits, and ongoing people operations, to support our growing international workforce.

Position Overview

The HR & Recruitment Administrative Assistant will provide day-to-day administrative and operational support to the Global HR team. This role is ideal for someone early in their HR career who is organized, detail-oriented, and eager to learn in a dynamic, international environment. The position focuses on HR administration, document management, onboarding coordination, and recruitment support.

Key Responsibilities

HR Administration

  • Maintain employee records, contracts, and confidential files across multiple entities.
  • Coordinate with new employees to collect required information, assist with benefits enrollment, track probation completion, and support general onboarding requirements.
  • Maintain and update employee information to ensure accuracy and proper documentation.
  • Assist with benefits administration, including collecting employee information, submitting forms, and tracking enrollments.
  • Monitor key HR timelines such as probation periods, contract expirations, and salary reviews, ensuring the HR team is alerted in advance.

Recruitment Support

  • Post job openings on Workable, LinkedIn, and other relevant job boards.
  • Schedule interviews across time zones and coordinate communication between candidates, hiring managers, and interview panels.
  • Maintain and update candidate tracking sheets and recruitment records.
  • Assist with background verification, reference checks, and candidate documentation.
  • Organize recruitment files and ensure interview materials are properly archived.

Onboarding & Offboarding

  • Prepare and distribute new hire documentation and collect all required employee information.
  • Coordinate contract printing, signing, and stamping for international entities (e.g., Egypt, Italy, Czech Republic).
  • Create new employee folders and ensure smooth onboarding coordination with IT, payroll, and facilities.
  • Support the offboarding process by coordinating the return of company property and completing exit documentation.

General Administrative Support

  • Prepare and maintain HR reports and spreadsheets (vacation tracking, headcount summaries, salary tables).
  • Work with the HR team on different HR projects as needed.

Requirements

  • 1–2 years of experience in HR administration, office administration, or recruitment coordination.
  • Diploma or bachelor’s degree in Human Resources, Business Administration, or a related field (an asset, not mandatory).
  • Strong organizational and multitasking skills, with high attention to detail.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Excellent written and verbal communication skills in English; proficiency in French or other languages is a plus.
  • Comfortable working across multiple time zones and supporting a global team.
