We are seeking a dedicated and detail-oriented Executive Assistant with strong communication and book keeping skills to join our team. This is a long-term position requiring approximately 35 hours per week, ideally during U.S. Eastern hours (9AM ET - 4PM ET) — though there is some flexibility within this window. ⸻ Key Responsibilities • Calendar and inbox management • Restaurant reservations and vacation planning • Excel and Google Sheets data entry • Assisting with grocery orders through a grocery delivery app • Coordinating vendor invoices and payments for a home construction project • Scheduling appointments (car maintenance, kids school events and other items) • Assistance with PowerPoint presentations • Ad-hoc research and prompting tasks using ChatGPT or similar LLM tools ⸻ Requirements • This role requires you to be at your desk, online and on a live video stream so the executive can speak to you from his desk to make requests during business hours. Do not apply to this job if you are unable to do this. In your proposal, be sure to include that you are able to do this. Proficiency in: • Office 365 (Excel, PowerPoint) • Any project management tools • ChatGPT or similar AI productivity tools • High-speed Reliable internet connection and functioning webcam ⸻ Compensation • $200- $300 per week (for full-time, 35 hours per week), depending on experience and qualifications • There may not be actual work being done for the full 35 hours if there is little activity that week, but you will regardless get the weekly fixed fee. The ideal candidate is a self-starter and will work hard to make the executive's life easier, proactively looking for administrative items to help with instead of sitting around idle.
