Job Summary The Finance Manager will coordinate financial activities for the Department. Major responsibilities include working with senior research management staff to ensure sustainable program budgets, management and review of departmental ledger distributed, grant ledger summary distributed, accounts payable, and purchase requisitions. Manages Departmental General Operating Programs, Fee For Service, Gifts (Endowments) & Agency Funds according to University policies and expenditure guidelines; monitors expenditure and balances; evaluates financial priorities; reconciles expenses against the actuals; ensures deficit balances are cleared. Manages all departmental entries into Adaptive Planning for UBC budget planning purposes.The Finance Manager will coordinate financial activities for the Department. Organizational Status The advertised position reports to the LSI Manager, Operations & Administration and works closely with the LSI Director, Staff and the Principal Investigators, Research staff, and Trainees as required. Work Performed Manages and oversees accounts and receivables for the LSI Core facilities e.g., develop operations plan with invoicing for fee for service and cost recovery, work with facility Director to develop service contracts for private sector users. Budgets and generates financial reporting documents for the facility, including detailed financial & milestone reporting to the granting agencies. Manages sales expense budget and prepares annual budget reports and quarterly forecasts. Prepares short and long-term sales forecasts for all LSI Core facilities. Forecasts trends and salary obligation. Assisting the Operations & HR Manager to develop funding strategies. Represents the Department in all internal and external audit reviews Recommends, develops, implements policies, standards, procedures and budgetary controls with respect to financial and budget issues. Manage the LSI Scientific Core facilities month-end and year-end financial activities including reconciliation of accounts The Finance Manager will act as the department liaison with other academic and administrative units of the University including the Faculty of Sciences Dean's office. Consequence of Error/Judgement Work is expected to be at a high level of accuracy with excellent attention to detail. Errors in judgement could affect the financial position of the Department and individual faculty members, impacting relationship with government funding organizations and industry partners. Supervision Received Reports directly to the with the Manager, Operations & HR. Supervision Given Supervises the CUPE 2950 Administrative staff in the unit, and provides work-direction to other staff as required Minimum Qualifications Minimum of two years of related experience, or the equivalent combination of education and experience. - Willingness to respect diverse perspectives, including perspectives in conflict with one’s own- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion - Advanced knowledge of generally accepted accounting principles. - Experience with enterprise financial systems, ideally including the University’s WorkDay - Experience and knowledge in budgeting, financial reporting, procurement, and internal controls. - Experience in financial management reporting; including strategic and multi-year planning, forecasting, budgeting, oversight and report/grant proposal preparation; - Demonstrated leadership experience is an asset. Must be a team player. - Excellent interpersonal skills and ability to interact tactfully with all levels within an organization, including faculty, researchers, students, and staff. - Good problem solving, conceptual, planning and implementation skills. - Demonstrated ability in analyzing business processes and providing recommendations and implementing change or improvement. - Good experience with change management and commitment to delivering results in a collaborative and collegial environment. - Exceptional oral and written communication skills which allows for effective communication at all levels of the organization. - Good judgment and decision making skills. - Computer literacy including spreadsheet, database, and work processing software. - Ability to manage complex financial matters- Ability to exercise independent judgment in the solution of financial problems and the administration of a financial management program. - Must be able to work well under pressure to meet deadlines and be able to prioritize a varying number of tasks. - Willingness to respect diverse perspectives, including perspectives in conflict with one’s own - Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion Preferred Qualifications Undergraduate degree in a relevant discipline. Completion of at least 7 of the 14 CPA academic prerequisites. Minimum of two years of related experience, or the equivalent combination of education and experience.
