- Job Description
- The Executive Assistant provides high-level administrative support to senior leadership. He/she will proactively perform a variety of administrative functions requiring confidentiality, initiative and sound decision making. The person in this position will be responsible for organizing, planning and coordinating the administrative activities of their manager. The Executive Assistant will be expected to demonstrate a strong corporate image in all communications, ensuring excellent use of both French and English in oral communications, document writing, translations and internal and external presentations.
- Responsibilities
- Manage the calendar and resolve any scheduling issues (schedule and arrange meetings, appointments, conferences, review and prioritize event invitations and meeting requests) ;
- Screen incoming calls, answer questions, take messages, and forward calls to appropriate team members;
- Prioritize, process and write incoming and outgoing emails;
- Draft and transmit correspondence with a high degree of accuracy;
- Prepare, edit, format Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of organizational objectives;
- Develop and implement an effective documentation and filing system
- Interact appropriately and effectively with external customers and stakeholders;
- Prepare, coordinate all travel arrangements and reservations;
- Prepare and process expense reports;
- Manage assigned ad hoc projects - such as certain personal tasks, events and/or family needs;
- Assist with various projects such as organizing meetings and events, coordinating major files, follow-ups with stakeholders, coordination within the Executive Committee.
- Qualifications
- A Bachelor's degree or College Diploma is preferred;;
- A minimum of eight (8) years’ experience working with an executive;
- Expert in MS Office Suite (Excel, Word, PowerPoint and Outlook);
- Knowledge of SAP software is an asset;
- An interest in the airline, travel and/or hospitality industry;
- Excellent organizational, communication and time management skills and abilities ;
- Ability to work in a fast-paced environment with changing priorities;
- Dynamic, thorough, reliable and motivated ;
- Meticulous and resourceful;
- Must provide excellent customer service.
- Excellent verbal and written communication skills in French and English;
- Additional Information
- *A good knowledge of French is required for positions in Quebec. The incumbent will be required to communicate and collaborate frequently in English, both orally and in writing, with colleagues, customers, and other stakeholders in Quebec, the rest of Canada, and internationally.
