Job Description What is this opportunity? Reporting directly to the Regional President, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant must be organized and flexible; and enjoy working in a fast-paced environment that is results-driven and partnership oriented. The Executive Assistant will have the ability to exercise good judgment in a variety of situations. What will you do? Complete a broad variety of administrative tasks for the Regional President including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Act as the primary point of contact for internal and external partners on all matters pertaining to the Office of the Regional President. Serve as a liaison to National Office and regional senior management teams and partners; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. Plan, coordinate and ensure the Regional President’s schedule is followed and respected. Research, prioritize, and follow up on incoming issues and concerns addressed to the Regional President, including those of a sensitive or confidential nature. Work independently on projects, from conception to completion, and must be able to, at times, work under pressure to handle a wide variety of activities and confidential matters with discretion. Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Answering telephone, taking messages and answering routine questions. Maintaining vacation schedule and master schedule of whereabouts for staff. Maintaining master copies of organizational policy and procedure manuals and keeping them up to date. Typing and distributing memos, meeting minutes and presentations for staff. What do you need to succeed? Must-have: 3 – 5 years’ experience providing administrative support at the executive level. Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, external partners and donors. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Highly resourceful team-player, with the ability to also be extremely effective independently. University degree ideally in Commerce, Business Administration and/or related experience.
