This Executive Assistant position requires excellent command of both English and French, both spoken and written. Responsibilities
The Executive Assistant will play a pivotal role in supporting the two principal executives. Your key responsibilities in business administration will include:
Managing and optimizing the complex and high-volume schedules of the SVP & COO and the Chief Financial Officer.
Planning, organizing, and coordinating internal and external meetings, including complete logistics management and rigorous follow-ups.
Drafting, reviewing, and formatting high-level professional documents (correspondences, memos, reports, presentations) with meticulous attention to detail.
Ensuring complete management of executive business travel (contacts, calendars, and bookings).
Processing required invoicing for various services (legal, general, finance, etc.).
Actively participating in the organization and coordination of team communication activities, as well as special events (inaugurations, open houses, team activities).
Providing administrative and secretarial support to certain other division members, based on needs and urgency.
Acting as replacement for the administrative assistant in case of absence.
Qualifications
Excellent command of French and English, both spoken and written (imperative for communications with senior management and partners).
Advanced proficiency in the Microsoft 365 suite (Word, PowerPoint++, Teams, Outlook), with marked expertise in producing reports (reporting) and presentations.
Exceptional ability to establish professional relationships with people at all hierarchical levels.
Excellent communication skills and a rigorous, proactive sense of organization.
Ability to work under pressure in a dynamic environment and simultaneously manage numerous priorities and complex tasks.
Highly developed team spirit and autonomy in the daily management of your responsibilities.
Openness and interest in adopting new technologies, including AI tools.
