The successful Event Coordinator will be responsible for every detail, ensuring each event is executed to the highest standard. Responsibilities
-Plan, coordinate, and execute a diverse portfolio of corporate events, including the Annual General Meeting, Regional Buying Expos, Industry Association Trade Shows, corporate functions, member excursions, and the annual golf tournament.
-Collaborate with venues to prepare, negotiate, and finalize event contracts, ensuring favorable terms and conditions.
-Manage all aspects of event logistics, including conducting site visits, overseeing venue setup, coordinating catering, and managing on-site operations during events.
-Oversee the delegate registration process, including the collection of registration and sponsorship fees where applicable.
-Develop and manage event budgets, track expenditures, reconcile finances post-event, and prepare comprehensive financial reports.
-Maintain clear, consistent, and professional communication with vendors, members, and internal teams to ensure alignment and smooth event execution.
-Work closely with the communications department to coordinate the creation and distribution of promotional materials and event support.
-Conduct thorough post-event reviews and create reports to assess event success, gather feedback, and identify opportunities for future improvements.
-Travel to event locations within Canada and internationally (approximately 6 trips per year) to provide on-site event management and support.
-Utilize project management tools to track timelines, deliverables, and progress for multiple simultaneous events.
Qualifications
-Post-secondary education or a relevant certification in Event Management, Hospitality, Tourism, or a related business administration field.
-A minimum of 5 years of professional experience as an Event Coordinator, Meeting Planner, or in a similar role within the travel, tourism, or hospitality industry.
-Demonstrated experience in corporate event planning is strongly preferred.
-Thorough knowledge of the complete event planning lifecycle, including venue sourcing, contract negotiation, and on-site execution.
-Must hold a valid passport and have the ability to travel within Canada and internationally as required for events.
-Ability to successfully pass a criminal background check.
-Bilingualism (English and French) is considered a strong asset for this role.
-Exceptional organizational and time-management skills, with the ability to manage multiple large-scale events concurrently.
-Strong negotiation skills with proven experience in securing contracts with hotels, venues, and other event vendors.
-Excellent written and verbal communication skills, demonstrating professionalism and clarity when interacting with diverse stakeholders.
-A high degree of attention to detail and a commitment to delivering high-quality, seamless event experiences.
-A collaborative and team-oriented mindset, with a strong work ethic and the ability to work effectively with cross-functional teams.
-Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and various web-based applications.
-Problem-solving aptitude with the ability to think critically and adapt quickly to changing circumstances during event planning and execution.
-Experience with graphic design platforms (e.g., Canva Pro, Adobe InDesign) and project management software is considered an asset.
