We’re looking for a Dispatcher & Customer Service Coordinator to join our operations team. You’ll be the communication bridge between management, crews, and clients — ensuring jobs are scheduled, executed, and completed flawlessly every day. Core Responsibilities: 1. Dispatching & Operations Assign crews, trucks, and job schedules daily based on workload and distance. Monitor moves in real time — communicate updates, issues, and route adjustments. Track start and end times for all crews, confirming completion accuracy for payroll. Update internal logs, job boards, and CRM (SmartMoving or similar) with live status updates. Coordinate last-minute changes, cancellations, or emergency coverage as needed. Verify that every move has full details confirmed — address, start time, scope, and notes. 2. Customer Service Be the first point of contact for clients during and after their moves. Manage calls, texts, and emails for updates, scheduling, and concerns. Ensure all client communication is professional, clear, and timely. Collect post-move feedback and reviews; escalate any claims or issues to management. Follow up on pending move confirmations and assist in customer retention. Deliver a five-star experience from first contact to completion. 3. Administrative Support Record job completion notes and upload photos/documentation when required. Coordinate with accounting to verify completed job data for invoicing and payroll. Maintain a clean daily record of active jobs, open issues, and completed moves. Prepare quick daily summaries of dispatch and customer updates for management review. Requirements: Strong English communication skills (spoken and written). Minimum 1–2 years experience in dispatching, scheduling, or customer service (preferably in logistics, transport, or moving). Calm under pressure — able to multitask across calls, chats, and team coordination. High responsiveness and professionalism in every interaction. Confident with Google Workspace, spreadsheets, and CRM tools. Reliable internet connection and a quiet, professional setup. Available to work Pacific Time hours Preferred Skills (Nice to Have): Experience with ConnectTeam, SmartMoving, or RingCentral. Familiarity with Canadian geography, especially around Vancouver. Basic knowledge of time tracking, scheduling, or service dispatch workflows. Compensation: $4 – $8 USD/hour, based on experience.
