  • Job Description
  • A Data and Document Coordinator is responsible for overseeing the organization, storage, and management of both digital and physical documents, as well as data within an organization. This role ensures that all information is accurate, accessible, secure, and compliant with legal and regulatory requirements.
  • It’s a hybrid position that blends data management and document management, with a focus on optimizing workflows for organizing, storing, and retrieving critical documents and data.
  • Responsibilities
  • Organize and manage documents (employee files, HR documents, etc.) in both digital and physical formats.
  • Establish and maintain effective filing and retrieval systems, ensuring documents are easily accessible to authorized personnel.
  • Maintain proper versioning of documents to ensure that the most current document is used and older versions are archived appropriately.
  • Participate in various document-related projects, such as decommissioning legacy systems.
  • Enter and update data into databases, spreadsheets, or other systems. Ensure accuracy and integrity of data.
  • Review, analyze, and clean datasets to ensure consistency, identifying and resolving discrepancies.
  • Document rules around access management (roles, security settings, etc.) and be the gatekeeper for respecting these rules.
  • Ensure that data flows seamlessly between systems and coordinate the integration of new systems or data sources as needed.
  • Follow retention schedules to ensure documents and data are kept for the required period and disposed of properly when no longer needed.
  • Ensure documents and data are easily accessible and organized for audits or legal reviews.
  • Qualifications
  • Undergraduate degree
  • Minimum 3 years’ experience in a similar role
  • Bilingual
  • Proficient with MS Excel, Teams, Outlook
  • Strong problem-solving, organizational, communication skills
  • Highly collaborative
  • Resourceful and meticulous
  • Understanding of document retention policies, personal private information laws, and general legal requirements around data and document management, an asset
