This is a high-impact role where you will manage executive schedules, support our customer service, data entry, invoice collection, and support business operations. You will serve as the right hand to our Operations Manager, keeping everything organized, handling critical communication, and ensuring both the team and clients have what they need to succeed. Key Responsibilities - Executive Assistance & Calendar Management – Schedule meetings, prioritize the CEO’s time, and manage daily workflows efficiently. - Helpdesk & Client Support – Respond to client inquiries via email, chat, and helpdesk platforms, ensuring professional and timely support. - Email & Inbox Management – Organize inboxes, filter urgent messages, draft responses, and keep communication streamlined. - Payment Collection & Invoicing – Track outstanding payments, follow up with clients on overdue invoices, and manage financial follow-ups professionally. - Cold Calling & Appointment Setting – Schedule client calls, follow up with potential leads, and book sales calls. - Administrative Support & Chat Handling – Manage internal documentation, spreadsheets, reports, and maintain organized communication channels. - Basic understanding of automation workflows like GHL and Kajabi. Requirements - Bachelor’s Degree (Mandatory) in Business Administration, Communications, Marketing, or a related field. - Minimum 2 years of experience in an executive assistant, customer service, or project management role. - Experience with CRM & Helpdesk Tools – Familiarity with GoHighLevel, Kajabi, and Freshdesk (optional). - Fluent in English (Written & Verbal) – Must be able to communicate professionally and confidently with clients and team members. - Highly Organized & Detail-Oriented – Strong ability to track multiple tasks, follow up on deliverables, and ensure nothing falls through the cracks. - Proactive & Solution-Oriented – Takes initiative, identifies problems before they arise, and proposes solutions. - Discretion & Confidentiality – Will be handling sensitive business, financial, and client information, so trustworthiness is essential. - Tech-Savvy & Quick Learner – Must be able to work with various software tools, adapt to new platforms, and troubleshoot issues. - Ability to Work in EST Business Hours – Flexible but must be available for meetings and collaboration.
