HealthNOW is a growing specialty healthcare provider with divisions in concussion care, independent medical evaluations, and patient assessments. We are expanding with the launch of our new Assessment Division and are seeking a highly experienced associate to oversee operations across this division as well as our support our IME Division.
About the role
This position is designed for a professional with direct experience in IME administration, insurer reporting, and HCAI submissions. The associate will coordinate the full workflow of both divisions, ensuring referrals are managed efficiently, assessments are scheduled, reports are prepared, and insurer and legal documentation is submitted accurately and on time.
Key responsibilities
- Manage referral intake and coordinate scheduling of neurological, psychiatric, orthopedic, and allied health assessments
- Prepare, review, and submit insurer documentation including OCF 18s, OCF 3s, OCF 21s, disability insurer forms, and WSIB submissions
- Support IME workflows including scheduling of assessors, assembly of medical records, formatting and preparation of reports, and timely delivery to law firms and insurers
- Maintain and monitor case trackers, templates, and standardized operating procedures for consistency and compliance
- Communicate with insurers, lawyers, and referring physicians in a professional and timely manner
- Work directly with leadership to ensure deadlines, accuracy, and service levels are consistently met
Qualifications
- Minimum of three years professional experience in IME administration, insurer submissions, and clinical reporting. No exceptions will be made and no other applicants will be considered
- Strong working knowledge of HCAI, OCF forms, disability reporting, and WSIB processes
- Proven ability to prepare and coordinate medical reports and insurer documentation with precision and attention to detail
- Excellent organizational and communication skills with the ability to manage multiple cases and priorities
- Proficiency in EMR systems, Microsoft Office, and secure document handling

Job Type: Part-time
Pay: $22.00-$25.00 per hour
Expected hours: 20 – 40 per week
