Position Overview
This is not a basic receptionist role. We are looking for someone who:
- Has experience in construction administration
- Can confidently prepare and send estimates and proposals
- Understands basic construction terminology
- Is comfortable working with invoicing and job management software
- Can support project coordination and office operations
You will play a key role in keeping projects organized, estimates moving quickly, and invoices flowing out efficiently.
Duties
Project Coordinator will play a key role in preparing quotes, sending invoices, managing client communications, coordinating trades, and ensuring that all project details are handled with precision. This position is ideal for someone who enjoys both office work and occasional on-site involvement.
- Proficient in Quickbooks Software
- Proficient in Jobber Software
- Prepare and send quotes, estimates, and proposals
- Follow up on sent estimates and track approvals
- Generate invoices and manage billing through QuickBooks and Jobber
- Assist with job scheduling and coordination
- Communicate with clients via phone and email
- Maintain organized digital job files
- Assist with project documentation and work orders
- Support management with administrative tasks
- Prepare detailed cost estimates for labor, materials, and equipment
- Collaborate with project managers to develop pricing strategies and negotiate contracts with subcontractors and suppliers.
- Maintain organized records of estimates, proposals, and contracts for future reference.
- Monitor project budgets throughout the construction process to ensure adherence to estimated costs.
Requirements
- Minimum 2+ years administrative experience (construction industry preferred)
- Experience with QuickBooks (required)
- Experience with Jobber or similar job management software (required)
- Strong computer skills and ability to learn software quickly
- Knowledge of construction processes and terminology
- Strong written and verbal communication skills
- Highly organized and detail-oriented
- Ability to work independently in a fast-paced environment

Skills & Qualifications
- MUST HAVE STRONG ENGLISH VERBAL & COMMUNICATION SKILLS
- 1–3 years of experience in estimating, project coordination, or construction written and verbal communication skills
- GMAIL, Google Calendar
- Quickbooks is a must (must have knowledge)
- Jobber Software is a must (willing to train)
- Excellent organization and attention to detail
- Proficient with Microsoft Office (Word, Excel, Outlook)
- Positive attitude, strong work ethic, and ability to work independently or in a team environment
- Ability to read and interpret site plans, blueprints, and specifications
- Valid driver’s license and reliable transportation (site visits required)

Job Type: Full-time
Pay: $25,000.00-$45,000.00 per year
