We are seeking a highly organized and proactive Administrative Assistant to play a vital role in supporting our Director, Managers, Team Leaders, and project teams. In this dynamic position, you'll be central to the smooth operation of our office and contribute to key initiatives across the organization.

Here is what you will be doing:

You will provide comprehensive administrative support, from managing calendars and coordinating meetings to handling travel arrangements and expense reports. Working closely with internal and external stakeholders, you’ll ensure effective communication and seamless information flow, all while supporting new employee onboarding and maintaining critical documents and SharePoint sites.
As the face of our administrative team, you’ll compile essential information for meetings, prepare and proofread a variety of documents (including presentations, correspondence, and reports), and keep departmental records complete and up-to-date. Your ability to prioritize, respond to inquiries, and follow up on outstanding items will be key to your success.
You will also facilitate divisional meetings by coordinating agenda items, taking minutes, and tracking follow-up actions. Additional responsibilities include managing incoming and outgoing mail, collaborating on projects, and ensuring new staff and consultants are equipped for success.
Key Responsibilities
  • Provide end-to-end administrative support, including calendar management, meeting logistics, and travel coordination.
  • Serve as the central point for inquiries, determining priority and urgency for executive attention.
  • Prepare, proofread, and manage a range of documents, presentations, reports, and communications.
  • Organize and maintain complete departmental records and filing systems.
  • Ensure timely follow-up on outstanding items and facilitate effective information exchange with stakeholders.
  • Support divisional meetings with agendas, minutes, and action follow-up.
  • Assist new staff with onboarding logistics and supply management.
  • Take ownership of special projects as required, demonstrating initiative and adaptability.
Here is what you will need to be successful:

Education and Experience
  • Completion of a high school or college diploma, major in administrative studies, business administration, commerce, or recognized equivalent
  • 1-2 years of related work experience is required
Knowledge and Skills
  • Ability to work well under pressure and use good judgment in assessing and responding to difficult situations
  • Analytical and problem-solving skills and proven ability to research and summarize information
  • Experience in providing all aspects of administrative support to a manager or a team within a program
  • Proficient in operating office equipment such as photocopier, binding machine, fax, etc.
  • Excellent organizational and time management skills required
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written communications skills required
