Purpose of the Role Provide remote administrative and operational support to the executive team and internal departments, ensuring smooth coordination, documentation accuracy, timely follow-ups, and organized workflows across the company. Core Responsibilities • Calendar coordination, meeting scheduling, and call organization across time zones • Preparation, formatting, and proofreading of documents, spreadsheets, proposals, and internal reports • Email drafting, follow-ups, and communication support on behalf of leadership • Maintenance and organization of digital files and folders (SharePoint, OneDrive, Teams) • Tracking and updating quotes, proposals, procurement status, and internal project lists • Taking meeting notes and producing action summaries • Light procurement support (logging quotes, updating tracking sheets, following up with vendors) • Conducting basic research related to vendors, pricing, products, or administrative tasks • Supporting general administrative processes as assigned by management Required Skills & Qualifications • 1–3+ years administrative, executive assistant, coordinator, or similar experience • Strong written and verbal communication skills • High attention to detail, accuracy, and organization • Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint) • Ability to work independently and manage multiple priorities remotely • Professional discretion and reliability • Experience in IT or professional services is an asset but not required
