Assist with entering new contracts and updating existing ones in the contract management system. 2. Help generate and distribute basic reports and project data as requested. 3. Support subcontractor documentation by organizing files and tracking submissions (e.g., insurance certificates, waivers). 4. Maintain organized project files including communication logs, proposals, and closeout documents. 5. Prepare basic submittal packages using templates and provided materials. 6. Flag contracts requiring certified payroll and assist with submitting required documentation. 7. Help coordinate safety documentation and ensure training records are up to date. 8. Use purchasing tools to assist with tracking and ordering project materials. 9. Enter project dates and assist with updating cost schedules under supervision. 10. Support billing processes by preparing invoices and tracking payment status. 11. Assist with resolving minor billing or cost entry issues. 12. Help follow up on outstanding payments or documentation as directed. 13. Act as a liaison between project teams and shared services for administrative tasks. Sales Support: 14. Assist with maintaining local sales databases and updating opportunity reports. 15. Help track contract approvals and follow up on required documentation. 16. Support the preparation and booking of change orders. 17. Assist in preparing customer proposals, letters, and forms. Maintain a library of standard documents and marketing materials. General Support: 18. Provide general administrative support to the team, including scheduling, filing, and office coordination. 19. Offer backup support to other administrative staff or project coordinators as needed. 20. Perform other related duties as assigned. What we look for Required · 1–2 years of experience in an administrative or support role, preferably in construction, contracting, or a related industry. · High school diploma required; post-secondary education or coursework in business administration or project coordination is an asset. · Strong organizational skills and attention to detail. · Ability to communicate professionally with internal teams, customers, and vendors. · Basic understanding of project documentation and administrative processes. · Proficiency with Microsoft Office (Word, Excel, Outlook); familiarity with project management tools (e.g., MS Project) is a plus but not required. · Willingness to learn cost tracking and basic accounting concepts. HIRING HOURLY RANGE: $20.06 - $31.25 (Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, location and alignment with market data.)
